San Mateo County Birth Certificate Retrieval & Apostille Services
Need a certified San Mateo County birth certificate for use in another country? Detailed Notary provides certified birth certificate retrieval and California apostille services for qualifying San Mateo County records.

I assist clients throughout California, across the United States, and internationally who need a San Mateo County birth certificate obtained and prepared for international use.

Depending on your eligibility and circumstances, I may be able to retrieve the certified birth certificate from the San Mateo County Clerk-Recorder in Redwood City and then coordinate the California apostille, helping you avoid multiple trips and unnecessary shipping between agencies.
San Mateo County Birth Certificate Retrieval
California law limits who may obtain an authorized certified copy of a birth certificate. If you are eligible to receive the record but cannot appear at the San Mateo County Clerk-Recorder's Office yourself, retrieval through an authorized agent may be possible.

For requests made under a Power of Attorney, the Power of Attorney must be legally valid, properly executed, and specifically authorize the agent to request the birth certificate. The San Mateo County Clerk-Recorder determines whether the documentation and authorization presented are sufficient to release the record.
I do not prepare Powers of Attorney or provide legal advice regarding what authority your Power of Attorney should contain.

Please contact me before preparing or sending documents so I can review the retrieval process with you and confirm what will need to be submitted.
Birth Certificate Retrieval and Apostille in One Service
If your certified birth certificate is being obtained for use outside the United States, I can coordinate both stages of the process:

-
Review the record and destination-country information.
-
Retrieve the qualifying certified birth certificate from the San Mateo County Clerk-Recorder when authorized and permitted.
-
Submit the certified record for a California apostille.
-
Return the completed apostilled document to you or your designated recipient.

Domestic and international return shipping are available.

This service can be especially helpful for clients who live outside San Mateo County, outside California, or outside the United States.
Which San Mateo County Birth Certificate Should I Obtain for an Apostille?
For apostille purposes, the issuing agency and signature appearing on a California birth certificate matter.

A certified birth certificate issued by the San Mateo County Clerk-Recorder can generally be submitted directly to the California Secretary of State for apostille.

San Mateo County birth certificates may also be issued by the Public Health Department. Certain birth certificates issued by San Mateo County Public Health require an additional Public Health Officer's Signature Verification from the County Clerk-Recorder before they can be submitted for apostille.

If you already have a certified San Mateo County birth certificate, you can send me a clear scan or photo before shipping the original. I can review the issuing agency and public official's signature to determine the appropriate apostille processing route.
Authorized Certified Copy vs. Informational Copy
If your birth certificate will be used for an apostille or other official international purpose, it is important to obtain the correct certified record.

An informational copy is marked:
“INFORMATIONAL, NOT A VALID DOCUMENT TO ESTABLISH IDENTITY.”

Informational copies should not be ordered when an authorized certified copy is required for your intended international use.

If you are unsure which copy you currently have, send me a clear image of the document for review before ordering another copy.
What If I Already Have My Certified Birth Certificate?
You do not need record retrieval if you already have an acceptable certified copy.

Send me a clear scan or photograph of the birth certificate, and I can review:
-
The issuing agency
-
The public official's signature and title
-
Whether an additional county certification appears to be required
-
Your destination country
-
The appropriate California apostille process

If the certificate is acceptable, you can send the original certified copy to Detailed Notary for apostille processing.
What If I Live Outside California?
You do not need to travel to San Mateo County simply because your birth certificate was issued here.

I regularly assist clients who are no longer living in the Bay Area and need California documents for international use.

Depending on your circumstances and eligibility, the certified record may be retrieved on your behalf when legally permitted, or you may order the certified copy and arrange for it to be sent for apostille processing.

Once the apostille is complete, the document can be shipped to you or directly to your designated recipient.
California Apostille for a San Mateo County Birth Certificate
An apostille authenticates the signature and capacity of the California public official appearing on the certified birth certificate. It does not certify or verify the contents of the birth record.

California apostilles are issued by the California Secretary of State.

For a birth certificate being used outside the United States, I will also ask for the destination country before processing the document.

Why Use Detailed Notary?
Detailed Notary is based in Burlingame and provides document retrieval and apostille services throughout San Mateo County.

I also assist with California marriage certificates, death certificates, divorce decrees, court records, corporate documents, certified translations, federal apostilles, and embassy or consulate legalization when required.
Frequently Asked Questions
Can you retrieve my San Mateo County birth certificate for me?
Possibly. California restricts access to authorized certified birth records. If you are eligible to receive the record and provide legally sufficient authorization for an agent to obtain it, retrieval may be possible. The San Mateo County Clerk-Recorder makes the final determination regarding release of the record.
Can a Power of Attorney be used to retrieve a San Mateo County birth certificate?
A legally valid and properly executed Power of Attorney may be used when it specifically authorizes the agent to request the birth certificate. A general authorization covering unrelated financial or healthcare matters may not be sufficient.

Detailed Notary does not prepare Powers of Attorney or advise clients regarding the legal language their document should contain.
Can you retrieve the birth certificate and apostille it for me?
Yes, when you are eligible for the certified record and the County Clerk-Recorder accepts the authorization presented for retrieval, I can coordinate retrieval of the certified copy and California apostille processing.
Do I need an apostille if I am using my birth certificate outside the United States?
That depends on the requirements of the receiving country and organization. Tell me the country where the birth certificate will be used so the appropriate authentication process can be determined.
Can an informational birth certificate be apostilled?
An informational copy is marked “INFORMATIONAL, NOT A VALID DOCUMENT TO ESTABLISH IDENTITY” and should not be ordered when an authorized certified copy is required for the intended international transaction.
My birth certificate was issued by San Mateo County Public Health. Can it be apostilled?
Possibly, but an additional step may be necessary. Certain San Mateo County Public Health-issued birth certificates require a Public Health Officer's Signature Verification from the County Clerk-Recorder before apostille processing.

Alternatively, obtaining a new certified copy from the San Mateo County Clerk-Recorder may provide a record that can be submitted directly for apostille.
Can you help if I live outside the United States?
Yes. Detailed Notary assists international clients with California document retrieval and apostille processing. Completed documents can be returned internationally or sent directly to a designated recipient.
